Atklāj is a technical tool for building QR orienteering events. Each event, its content, route, safety and participant data are managed by its organiser, not by Atklāj. Participants take part voluntarily and look after their own safety. AI checking and automatic translation are helpers that can make mistakes, so the organiser makes the final call. Paid plans never renew automatically, and consumers have a 14-day right of withdrawal.
1. What these terms cover
These terms are an agreement between Atklāj and everyone who uses atklaj.lv: organiser accounts, event-building tools, the event screen and participant game pages.
The Platform is provided by Vladislavs Judins (.), Latvia (“Atklāj”).
Words we use
- Platform: the atklaj.lv website and all its features.
- Organiser: a person or organisation that creates an account and runs an event.
- Participant: a person or team that registers for an event and plays.
- Content: texts, images, maps, tasks, answers, photos and other information users enter on the Platform.
- Consumer: a natural person using the Platform outside their trade, business or profession.
By creating an account, registering for an event or continuing to use the Platform, you agree to these terms and to the event organiser’s game rules. If you do not agree, please do not use the Platform. If you create an account for an organisation, you confirm you may act for it, and these terms also bind the organisation.
2. Who is responsible
Atklāj
Runs the Platform: the organiser panel, QR and game functions, scoring, the event screen, email delivery, extra tools (such as AI checking and translation), billing and support. Atklāj does not run organisers’ events, is not a party to any arrangement between an organiser and participants, and does not check users’ content in advance.
Event organiser
Is fully responsible for their event: content, tasks, route, locations, schedule, permissions, participant safety and supervision, prizes, correct results and the use of participant data. The organiser’s name and contact details appear on the event page.
Participant
Takes part voluntarily, follows the event rules and the law, acts safely, gives truthful information and does not disrupt others.
3. Organiser account
- An account may be created by an adult who is authorised to act for themselves or the organisation named.
- Keep your email reachable and your password secure and confidential. A new account may need to confirm its email before participant registration opens.
- You are responsible for everything done through your account, including by colleagues you give access to. Report unauthorised access to Atklāj promptly.
- Misleading accounts, impersonation and creating several accounts to reuse the free plan or free AI checks are prohibited.
- Atklāj may refuse an account or ask you to confirm details where there is reason to doubt them.
4. Creating and managing an event
The organiser chooses the event settings, languages, registration fields, checkpoints, task types, schedule, design and whether the event appears on the public website.
The organiser must:
- publish accurate, clear and lawful information, including clear game rules and scoring;
- obtain all necessary permissions (from landowners, building or site owners, the municipality and others) to place checkpoints and hold the event;
- assess the safety risks of the route and tasks and arrange the necessary supervision, first aid and, where needed, insurance;
- test QR codes, links, the route, tasks and correct answers before the event;
- tell participants about age limits, required equipment and whether location, photos, AI checking or the event screen are used;
- where children take part, obtain parent or guardian consent where required and provide adult supervision;
- collect only the data the event really needs, choose a justified retention period and respond to participants’ data requests (see section 14);
- review answers set to manual or AI checking fairly and on time;
- take sole responsibility for prizes, their award and any taxes, and for legal compliance where the event is a contest or lottery;
- store downloaded results, Excel and PDF files securely, as they are in the organiser’s hands once downloaded.
Event screen and results email
The event screen opens through a secret link without login, so anyone with the link can see the content the organiser chooses (usernames, photos, answers, results). The organiser is responsible for what is shown and who gets the link, and creates a new link when needed. The results email may be sent only to the organiser’s own event participants and only about that event.
Listing on the public homepage is not guaranteed. Atklāj may decline to list or remove an event that is misleading, incomplete, unsafe or breaks these terms.
5. Taking part in an event
Taking part is voluntary and at the participant’s own risk. Participants judge their own health, abilities, surroundings, weather and traffic, and stop playing if it becomes unsafe.
- Looking for a QR code or doing a task never overrides traffic rules, site rules or other people’s rights. Do not enter closed or private areas without permission.
- Participants register separately for each event and receive a username and access code. The same email may be used in different events. An access code must not be used to affect another team’s results.
- Location permission is needed only where the event uses a location check, map or live tracking, and can be managed in browser or device settings.
- By uploading a photo or text, a participant confirms they may do so and does not upload offensive content or pictures of others without their knowledge. The organiser may show photos and answers in the event gallery and on the event screen.
- If the connection drops, an answer is kept on the device and sent later with its original submission time (no older than 6 hours). Answer times or content must not be manipulated.
- Results are calculated under the organiser’s rules. Questions about points, answer assessment, disqualification and prizes are handled by the organiser, not Atklāj.
- A minor’s legal guardian and the organiser are responsible for the minor’s participation, supervision and any required consent.
6. AI and automatic tools
Some Platform tools work automatically: AI answer checking, AI photo checking, automatic translation (DeepL) and automatic scoring. They are helpers that save work, but they do not replace human judgement.
- AI can make mistakes. It may accept a wrong answer, reject a correct one or miss forbidden content. Atklāj does not guarantee that AI decisions or translations will be accurate, complete or suitable for a particular event.
- The organiser switches AI checking on for each checkpoint, writes the checking rules, can change any AI decision under “Review” at any time and is responsible for the final result. The Platform’s general rules on forbidden content always take priority over the organiser’s rules.
- A photo the AI finds forbidden is rejected and blurred or hidden in the gallery, on the screen and in results. This is an extra layer of protection, not a guarantee that unwanted content will never appear.
- We send the AI provider only the task, the checking rules and the answer or photo, without the participant’s name or contact details. Organisers must not put personal data into checking rules or tasks. See the privacy policy for details.
- Organisers must review automatic translations before publishing and must not send sensitive or unnecessary personal data for translation.
- A participant who disagrees with an AI decision can ask the organiser to review the answer.
7. Content and intellectual property
The Platform software, design, name, logo and Atklāj’s own content belong to Atklāj or the relevant rights holders. Users may use them only for the Platform’s intended purpose; copying, selling or building another service on them is not allowed.
Organisers keep the rights to their own content and confirm they may use it (including images, maps and texts). The organiser grants Atklāj a free, non-exclusive right to store, process, translate and display that content as needed to run the Platform and deliver the event, and to keep it in backups.
Participants keep the rights to their photos and answers and allow the organiser and Atklāj to store and show them within that event (results, gallery, event screen) for the event’s data-retention period.
Atklāj may use anonymised, aggregated statistics (such as numbers of events and participants) to improve the Platform. Atklāj may use suggestions and feedback about the Platform free of charge and without any duty to act on them.
Reporting illegal content
If you see illegal content or content that breaks these terms, email info@atklaj.lv with the link or event, why the content is illegal and your contact details. We will review the report without undue delay. Atklāj may (but has no duty to monitor content generally) remove or hide content or restrict access, and will normally tell the affected user why.
8. Fair use
You must not:
- publish unlawful, offensive, hateful, discriminatory, misleading, sexual or violent content, or content that infringes others’ rights;
- create tasks that encourage breaking the law, entering dangerous or private places, or risking health;
- try to access other users’ accounts, data or protected parts of the Platform;
- bypass QR, results, access, security or AI-checking controls (for example with instructions hidden in answers);
- overload the Platform, scrape its data, introduce malware or disrupt it;
- use participant data for a purpose not explained to participants, or send them unsolicited advertising;
- get around plan limits, for example with several accounts or by using test participants for a real event;
- sell, publish or misuse promo codes.
If these rules are broken, Atklāj may remove content, restrict features or suspend the account (see section 12).
9. Availability and changes
Atklāj works to keep the Platform stable but does not guarantee uninterrupted or error-free operation. Internet, mobile networks, devices, browsers, GPS, maps, email, payments, AI and other external services can cause disruption. Organisers should test their event and have a fallback (for example a paper checkpoint list, which can be downloaded as a PDF).
If the connection drops or the server is busy, the game tries to keep answers on the device and send them later, but this may fail on some devices and browsers (for example if browser data is cleared or the device switches off).
Atklāj makes backups, but they are not meant for restoring individual users’ data on request. Organisers should download important results (Excel or PDF) in good time.
Features may be added, changed or paused for improvements, maintenance and security. If a change materially reduces what a paid plan includes, we will tell you and offer a fair solution or a refund for the remaining period.
10. Fees
Creating an organiser account and the “Start” plan are free. The “Start” plan is for trying the Platform, lasts 14 days and has limits. The paid plans are “Event” (from 39 € per event) and “Organiser” (249 € a year). Current prices, plan limits and add-ons are shown on the Plans page. Prices are in euro and include VAT.
How buying works
- A plan can be chosen at sign-up or later under “Payment”. The total is shown before purchase, and the buyer accepts these terms and the withdrawal rules.
- By card, payment goes through the SumUp payment service. The plan starts right after a successful payment.
- By invoice: the invoice is emailed and available in the account. The plan starts once payment is received. The invoice must be paid by the date stated on it.
- The “Event” plan lasts 30 days and the “Organiser” plan 12 months from activation.
- Plans do not renew automatically, and no charge is made without the organiser’s clear choice.
- If a plan limit is reached, a game already running is not stopped, but adding new events or participants may require a larger plan or an add-on.
- If prices change, the new price applies to the next purchase. A period already paid for is not affected.
- If an invoice is not paid on time, Atklāj may, after a reminder, suspend paid features (including AI checking) until it is paid.
AI checking
- AI answer checking and AI photo checking are extra paid services the organiser switches on per checkpoint. Each check is charged at the price in force at the time, shown in the checkpoint form. Text answers that exactly match a correct answer are not sent to AI and cost nothing.
- New organisers may get a number of free checks. Atklāj sets and may change that number.
- We invoice the previous day’s checks the next day; the invoice must be paid by the date on it. A check is charged once performed, even if its decision is later changed.
Promo codes
A promo code grants the plan it names for the stated period. Each code can be used once per account, cannot be exchanged for money, and Atklāj may end a code for future use at any time. A plan received with a promo code is free, so there is no refund for it.
11. Withdrawal and refunds
If a paid plan or add-on is bought by a consumer, they may withdraw from the contract within 14 days of the day it was concluded, without giving a reason (Latvian Consumer Rights Protection Law, section 12, and Cabinet Regulation No. 255 on distance contracts).
How to withdraw
- in the organiser account: My account → Subscription → “Withdrawing from a purchase”, which also shows the deadline and an estimated refund; or
- by sending a clear statement to info@atklaj.lv. You may use the model form below, but it is not required.
The deadline is met if the statement is sent before the 14 days end. We confirm receipt by email.
If the service has already started
A paid plan starts during the withdrawal period only if the buyer expressly asks for it and confirms they understand the consequences. In that case a consumer who withdraws pays for the part already provided, calculated in proportion to the contract price using the largest of: days passed against the plan length; registered participants against the number included; uploaded images against the included storage; automatic translation used against the included amount.
- For the “Event” plan (and its extension), the service is fully provided once the event with registered participants has taken place. After that the right of withdrawal no longer applies and there is no refund.
- Each AI check is a fully provided service once it is performed. By switching on AI checking, the organiser asks for it to be provided straight away and accepts that there is no right of withdrawal for checks already made.
- Images already uploaded and translations already made stay in the organiser’s events and count towards the part used.
- After withdrawal the account moves to the “Start” plan; for 14 more days the organiser can open the panel and download results.
Refund
We refund within 14 days of receiving the statement, using the same means of payment (card via SumUp, invoice by bank transfer) unless agreed otherwise, with no fee for the refund.
After 14 days
Once the withdrawal period has ended the price is not refunded, even if the plan is not used to the end. This does not affect the buyer’s rights if the service does not conform to the contract.
Companies, schools and institutions
The statutory right of withdrawal does not apply to companies, schools, public bodies, associations or other organisations, or to a natural person buying for their business. We may review such a request individually, but a refund is not guaranteed.

12. Ending use
An organiser may stop using the Platform at any time and ask for the account and related data to be deleted by emailing info@atklaj.lv. We may ask you to confirm your identity first. Closing an account does not cancel invoices already issued.
Atklāj may restrict or suspend access, remove content or close an account if:
- the user materially or repeatedly breaks these terms;
- the Platform’s security, other users or third parties are put at risk;
- invoices are not paid;
- the law or a public authority requires it.
Where possible, we will first give you a chance to fix the problem. Inactive free accounts with no login for more than 12 months may be deleted after an email warning.
If Atklāj decides to close the Platform altogether, we will give at least 30 days’ notice and refund the unused part of any paid period.
13. Liability
The Platform is provided as it is and as available. Atklāj is responsible only for the technical operation of the Platform and only to the extent set out in these terms and by law.
What Atklāj is not responsible for
- how events are run, their route, tasks, safety, supervision, prizes and organisers’ decisions;
- injuries, harm to health, damage to property or losses during an event, unless caused by Atklāj’s fault;
- content, photos and answers entered by organisers and participants;
- AI decisions, automatic translations and their consequences (see section 6);
- the operation or failure of external services (internet, mobile networks, GPS, maps, SumUp, email, AI and translation services);
- data lost on a device (for example if browser data is cleared) or after an organiser has downloaded it;
- indirect losses such as lost profit, damage to reputation, a cancelled event or the cost of a replacement service.
Limits
- For organisations and people using the Platform for business, Atklāj’s total liability for all claims is limited to the amount that organiser paid Atklāj in the 12 months before the loss arose.
- On the free plan or free features, Atklāj is liable only for intent and gross negligence.
- For consumers, Atklāj is liable to the extent provided by law.
What these limits do not affect
Nothing in these terms limits liability for harm caused intentionally or through gross negligence, for harm to life or health caused by Atklāj’s fault, or consumer rights that cannot be limited by law (such as the right to a service that conforms to the contract).
Organiser’s responsibility
The organiser compensates Atklāj for losses and reasonable costs (including legal costs) if a third party or authority makes a claim against Atklāj in connection with the organiser’s event, content, processing of participant data or breach of these terms, to the extent permitted by law.
Force majeure
Atklāj is not responsible for failing to perform because of circumstances beyond its control, such as natural disasters, widespread internet or power outages, cyberattacks, outages at hosting or other providers, or actions of public authorities.
Complaints
Send a complaint about the Platform in writing to info@atklaj.lv, describing the problem. Organisations must complain within 3 months of becoming aware of the problem. We reply to complaints within 15 working days.
14. Processing data on the organiser’s behalf
For their event’s participant data (registration, answers, photos, results, location, messages), the organiser is the controller and Atklāj is the processor within the meaning of Article 28 of the General Data Protection Regulation (GDPR). This section is the data processing agreement between the organiser and Atklāj.
- Atklāj processes participant data only to deliver the event and on the organiser’s instructions, given through the event settings and actions in the panel, unless the law requires otherwise.
- People at Atklāj with access to the data are bound by confidentiality.
- Atklāj applies appropriate security measures, described in section 8 of the privacy policy.
- The organiser agrees that Atklāj uses the sub-processors listed in section 5 of the privacy policy. Organisers are informed of a new sub-processor by an update to that list; the organiser may object and, if no solution is found, stop using the Platform.
- Atklāj helps the organiser respond to participants’ requests and meet GDPR obligations, as far as reasonably possible with the Platform’s tools.
- Atklāj informs the organiser without undue delay of a personal data breach affecting the organiser’s data.
- When the retention period ends or the account is closed, data is deleted, except what the law requires to be kept and backups that are overwritten in the normal cycle.
- On a justified request, Atklāj provides the information needed to show these obligations are met.
The organiser is responsible for having a legal basis to collect the data, informing participants and obtaining any required consents (including parental consent for children).
15. Changes, law and contact
Changes to these terms
We update these terms when Platform features, the law or our practices change. The new effective date is shown on this page. If a change materially affects an organiser’s rights or obligations, we email them at least 14 days in advance. An organiser who does not agree may stop using the Platform; continuing to use it means the change is accepted. The price of a plan already paid for does not change.
Law and disputes
Latvian law applies. We first try to resolve disputes by discussion. If that fails, the dispute is decided by a court of the Republic of Latvia. Consumers may also contact the Consumer Rights Protection Centre or its Consumer Dispute Resolution Committee and keep all their statutory rights.
Other terms
- If any part of these terms is found invalid, the rest remains in force.
- If Atklāj does not enforce a right in one case, it does not give up that right.
- Atklāj may transfer its rights and obligations to another party that continues to run the Platform, with prior notice.
- If the Latvian and English versions differ, the Latvian version prevails.
